A collection is a set of published links that anyone with the link to the collection can view.

5. From the Thru Portal or ShareThru Explorer, go to Administration > Publishing.

6. To define collections, expand the Publishing menu, and then select Collections.

7. To add a collection:

a. Click Add Collection on the top user toolbar. The Add Publishing Collection page opens.

b. To define collection criteria:

  • Collection Page Title – Main title of the collections page and displayed at the top of the page.
  • Links Subtitle – Subtitle of the link of the collection, visible on the left side of the page when a user navigates to the link.
  • Description – Optional field to differentiate the collection from others.
  • Header – Optional field displayed at the top of the page.
  • Footer – optional field displayed at the bottom of the page.
  • Require recipient registration for downloads – Requires the user to register before downloading files.
  • Show search field – Lets users search for files with a search field.
  • Show all links when search is empty – Displays all links in collection when a user does not specify search criteria.
  • Show collection in site publishing interface – Displays under which collection the files are stored.
  • Show publishing icon near file links – Displays an icon before the file name.

c. Click Save to create the collection.

8. To activate, deactivate, or delete a collection:

a. Expand the Publishing menu, and then select Collections.

b. Select the check box before a collection to activate that collection

c. Clear the check box before a collection to deactivate that collection.

d. To delete a collection, select the check box before the collection, and then click Delete.

9. To link to a collection:

a. Expand the Publishing menu, and then select Collection Links.

b. Click the collection you want, and then scroll to the bottom of the page.

c. From here, you can:

  • Click Modify to change any of the features you defined when creating the collection.
  • Click Preview to view a preview of the published collection.
  • Click Script to receive the scripts for the collection links.

10. To view collection links to individual files within a collection:

a. Select which Collection corresponding to the file in question by clicking on the right arrow next to Publishing Collection.

All the files in the collection display.

b. Click the file for which you would like to get the link, and then scroll to the bottom of the page.

c. From here, you can:

  • Click Modify to change any of the features you defined when creating the collection.
  • Click Preview to view a preview of the published collection.
  • Click Script to receive the scripts for the collection links.

d. Click OK to return to the previous page.

These scripts link directly to the files themselves and the user will not be taken to the whole collection. Instead, a download dialog will display asking them where they would like to download the files.

11. To publish internet links:

a. Expand the Publishing menu, and then select Internet Links.

b. Click Add Internet Link. The Add Internet Link page opens.

c. Type the following criteria:

  • Internet URL
  • Default Link Text – Displays as a link in the collection
  • Default Description – Describes and differentiates links with text below the clickable area

d. Click Save

12. To add a link to a collection:

a. Expand the Publishing menu, and then select Collection Links.

b. Select a collection from the drop-down menu

c. Click Add Collection Link.

d. From here, you can:

  • Select Link to a fixed Internet URL, and then type the URL you want to add.
  • Select Link to a related publishing collection, and then select the collection you want to add.
  • Select Overwrite default link information to type custom link text and description.

e. Click Save to save the new link.

13. To manage file publishing requests when a user requests to publish a file:

a. Expand the Publishing menu, and then select File Requests. The File Publishing Requests page displays.

b. Select an option from the Request State drop-down list to view approved, pending, and rejected publishing requests.

c. To modify a request before approving, select the check box before the request, and then click Modify at the bottom of the page.

d. To approve or reject a publishing request, select the check box before the request, and then click Approve or Reject accordingly.

  • To remove a file from the Collection after approval, select the file on the Collection Links page, and then click Deactivate.

14. To add tags to the tag dictionary:

a. Expand the Publishing menu, and then select Tag Dictionary. The Tag Dictionary Editor page displays.

b. Type a tag in the New Tag field, and then click Add.

  • To remove a tag from the Tag Dictionary, select it from the list and click Remove.
